The integration enables faster preparation of quotes for projects created in MemSource Cloud or MemSource Server. MemSource performs an analysis of the source, after uploading analysis files to XTRF™, the system retrieves data from the agreed rate for the given client and contractor, and automatically prepare quotes for the specified task/project. Thanks to this integration between XTRF™ and MemSource, a translation company receives an excellent tool that accelerates and simplifies quotes preparation. Analysis file integration is the first step for deeper integration.

XTRF-SDL platform – deep integration

Thanks to this integration, all repetitive actions undertaken during project creation and management can now be automated and launched with just one click of a button. XTRF™ is one of the most important Translation Management Systems on the market and integration with SDL Trados was a natural step in system development: “With Trados Studio integration, you can increase your responsiveness to clients’ requests and substantially decrease the overhead costs of the creation and management of repetitive projects with a quick turnaround time. You can do it all with just one click!” says Tomasz Mróz, Operation Director of XTRF Management Systems.

How does the integration work?

  1. A predefined XTRF™ workflow creates a project in Trados Studio,
  2. XTRF™ orders Trados to perform the analysis,
  3. XTRF™ receive the results of the analysis and creates a financial calculation based on selected rates,
  4. XTRF creates and sends an XLIFF file together with the translation resources to the selected translator,
  5. The translator and proofreader work on the files on their local SDL Trados installations,
  6. Once the workflow is completed, the original format of the file is created and automatically sent to the client.

All of the above steps are triggered with just one click of the start workflow button. The main benefits for users are time saving, streamlining of processes, and elimination of errors. Since XTRF™ is the only system on the market that offers a flexible workflow module, translation companies can remain flexible, while enjoying the benefits of automation with Trados.

The built-in module for sending text messages is another XTRF™ solution that, in addition to the CRM module or partners’ zone, facilitates communication with company’s contractors. The newly introduced function allows for the fast and easy sending of important information to customers, suppliers, or employees.

Text message sending is based on integration with the international SMS gateway. SMS messages are sent directly from the XTRF™ system. Every sent message is automatically saved in the XTRF™ database and assigned to the history of contact with the given contractor.

Due to the new function, a system user can significantly speed up communication with customers and subcontractors: at any time, the system user is able to inform a customer about a ready order, immediately contact a supplier on the availability and timing of a project fulfilment, or send a message to an out-of-office employee. Text messages can be sent individually or in parallel with e-mail messages. SMS messages are the perfect solution in situations when a rapid dissemination of information is essential. Text messages are cheaper and less time consuming than a phone call.

XTRF™ is a system designed for translation agencies and corporate translation departments, which supports the project management and office management processes. XTRF™ also facilitates both internal and external company communication via, among others, the CRM module available in XTRF™, which enables single and mass e-mail dispatch and fully supports the customer relationship management. XTRF™ is also enriched with a partner’s zone for customers and suppliers, enabling, inter alia, file and instruction transfer directly through the system, the submission of comments during project realisation, and control of the project fulfilment phase.
