Developed in Poland, the web-based translation management system with the cryptic name XTRF is on the rise. The company was founded in 2005 and has since gobbled up a large market share for itself. It seems to be on the right track.
According to its own reports, XTRF is now working with more than 250 international clients and is proud to boast the greatest rate of economic growth in the TMS field. The target market consists mostly of LSP’s, but also translation departments in companies trying to keep huge project-management efforts under control.
The all-round solution is designed to cover project, document, resource and finance management. It has its own CRM Portal, numerous commercial features and automation of such process steps as managing easy projects, billing and client data management.
In opposition to some other cloud-based solutions such as Wordbee or Memsource Cloud, there is neither a separate Translation Memory nor a translation editor available in the system. Integration with the most popular CAT tools is, however, of utmost concern to the developers; for now there are out-of-the-box features for MemoQ, SDL Trados Studio, Memsource Cloud and XTM Cloud. The integration makes i.a. the import of analysis data from particular translation software solutions and a link-up to price lists possible, so that all project costs can be automatically calculated.
The well-organized and deliberated interface design is noteworthy, with a transparent and easy-to-handle structure. The user is not overwhelmed with a confusing array of menus and icons, but can jump into the basic features intuitively and acquire the knowledge to start using it right away. It is also translated into almost 30 languages, though it seems that the localization process has not been fully completed yet (as shown in the picture below).
Though it seems to be simple at the beginning, the intricacy and power of it cannot be ignored. The feature range is impressive and can absolutely keep up with the its well-established business competitors, such as Plunet Business Manager. Nevertheless, the user interface is much more intuitive than that of Plunet. Opportunities, quotes, projects, client and vendor data, bills and reports are all managed in their respective tabs. Moreover, users can store all their correspondence in the product’s own CRM Portal. In separate views on the Dashboard there are displayed current projects, quotes, project data, claims and more. The Vendor Portal and/or Client Portal can be enabled on demand. They support accepting and controlling projects.
Creating a project is a piece of cake: there are project templates available or you can create your own. Project steps like “Pre-translation”, “Translation”, “Editing”, “Client Proofreading” or “DTP” are stored in the database as ready components and can be easily added to a project through a drag-and-drop interface. However, it should be mentioned that no new components (“steps”) can be added by the user. If necessary, they can be ordered. XTRF Smart Projects are templates based on automation features that can increase the efficiency of project management significantly. And yet, you should keep in mind that an automated workflow really only makes sense in the context of projects with a considerable translation volume or a vast number of vendors.
Furthermore, the developers allowed for an extensive and clever access management system with predefined and customizable user groups in the application. These groups are split in advance into internal and external, and include such roles as administrator, project manager, internal vendor, sales executive and more. The management of linguistic resources has also been given some thought: any already existing TMs or LQA settings can be added to a project as a resource.
The reporting features of XTRF will blow your hair back. A report definition with a considerable number of metrics can be individually created and adjusted. Reports can be displayed depending on personal taste: as a table or even a colorful chart. There are also many export possibilities provided. Upon request, it’s possible to enable reports for clients and share them in the Client Portal.
In any cloud-based solution, it’s always important to prioritize information security, especially when a client’s sensitive data is at hand. Since April 2016, XTRF is acknowledged with a Certification according to ISO 9001:2009 and ISO/IEC 27001:2013, which on the one hand confirms high quality standards, and on the other hand the deliberated data security of many degrees.
XTRF offers 3 price packages (“Starter”, “Professional” and “Premium”), which differ in terms of memory capacity and feature range; i.e. the smallest package doesn’t include a Client Portal and enables only a 100 GB cloud-based memory. The Premium package features not only a built-in Client Portal and 1 TB memory, but also advanced adjustment options and available VIP Support.
